Purpose

This Privacy Policy applies to The Great Aussie Bush Camp (“GABC”, “we”, “us”, “our”) a member of the Edcamps group of entities. The Great Aussie Bush Camp is dedicated to maintaining a healthy and safe environment for all clients and participants during their stay. This Privacy Policy outlines how we collect, use, disclose, and protect personal information in compliance with the Privacy Act 1988, the Privacy Amendment (Enhancing Privacy Protection) Act 2012, the Australian Privacy Principles, and the Privacy Amendment (Notifiable Data Breaches) Act 2017.

Definitions

  • Client: Refers to the school, youth group, church group, or organisation booking and paying for a program at our facilities.

  • Participant: Refers to a student or individual enrolled with the client who attends our centre to participate in an organised program.
  • Personal information: information or an opinion about an identified individual, or an individual who is reasonably identifiable. It includes things like names, contact details, health/dietary information, and online identifiers/device data when they can reasonably identify you. It does not include de-identified/anonymous information.

  • Sensitive information: includes health and medical details. We collect and use this with parent/guardian consent or where authorised by law to deliver safe programs and emergency care.

Collection of Information

Client Information
We collect client information through various methods, including:

  • Online booking forms
  • Contact emails
  • Phone calls
  • Booking confirmation forms
  • Feedback forms
  • Referrals
  • Publicly available information

Information collected includes:

  • Client/Organisation Name
  • Contact Person
  • Contact Details
  • Requests for use of comments in marketing materials

Participant Information
Participant information is gathered through forms provided and collected by our clients, including:

  • Medical and Consent Form
  • Medication/Dietary Requirements
  • Parent or Guardian Consent/Activity Restriction Form

Information collected includes:

  • Participant name and contact details
  • Emergency contact details
  • Medicare/Health insurance details
  • Medications
  • Allergies and dietary restrictions
  • Media consent

In addition to the information listed above, we may collect:

  • Device and usage data from our website (IP address, device identifiers, pages viewed, referrers, search terms) via cookies and similar technologies.
  • Images and media captured during programs where consent has been provided.

Where participant information is provided to us through our clients (e.g., schools or organisations), those clients must have their own privacy policy in place that covers disclosure of that information to GABC.

Use of Information

We use the collected information primarily to:

  • Tailor our programs to accommodate medical or dietary conditions
  • Plan meals and address food allergies
  • Ensure appropriate first aid and emergency response
  • Contact emergency contacts if necessary

Participant information collected is returned to the client at the end of the program, except where required for emergency purposes. Client information may be retained for marketing purposes and future program bookings, unless the client opts out.

We may use cookie/pixel data for direct marketing/re-targeting. You can opt out at any time by using the unsubscribe link in our emails and by turning off marketing cookies in Cookie Preferences. We will comply with your request.

Disclosure of Personal Information

All personal information is treated as confidential and is used solely for its intended purpose. Disclosure to third parties, such as healthcare professionals in emergencies, is limited to what is necessary for the situation.

We may disclose personal information to service providers that help us operate our services (for example, IT hosting, email/CRM, booking/payment platforms, analytics and advertising partners) under agreements that require confidentiality and appropriate safeguards. Some service providers (for example, Google and Meta) may store or process personal information overseas when providing analytics and advertising services. These locations may include the United States, the European Union, Singapore and other countries where our providers operate globally. We take reasonable steps to ensure overseas recipients handle personal information in accordance with the Australian Privacy Principles. Security of Information

We implement reasonable measures to protect personal information, including:

  • Securing client folders in lockable cabinets
  • Maintaining computer security
  • Restricting access to authorised users

Notifiable Data Breach Scheme

GABC is subject to the Notifiable Data Breach Scheme, which requires us to report to the Office of the Australian Information Commissioner if a data breach is likely to result in serious harm. We minimise data collection to reduce the risk of breaches.

Rights to Access Information

Clients have the right to access and correct their personal information. To request access, submit a written request to aussie@bushcamp.com.au or phone 1800 887 717. You may need to provide identification or answer security questions to verify your identity. We cannot provide participant information if it is not retained, as stated in this policy.

We will acknowledge your complaint and may request additional information to resolve it. If dissatisfied with our response, you can contact the NSW Ombudsman for privacy complaints. If you are unhappy with our response, The NSW Ombudsman can consider most privacy complaints involving providers in NSW.
